Terms of Service

OttoMail reads the Gmail labels you select, drafts replies to routine customer questions grounded in a source-of-truth document you supply, checks those drafts against that document, and presents them for your team to approve. Categories of question can be allowed to send automatically only after you explicitly enable it, and only after a measured track record of approvals.

• The source of truth is yours. OttoMail answers from the document you provide. If that document is wrong or out of date, the drafts will be too.
• Review is yours. Replies your team approves are your replies. You are responsible for what is sent from your inboxes.
• You confirm you are authorised to connect the inboxes you connect, and to let this service process the mail in them.
• You will not use OttoMail to send unsolicited bulk mail, or for any unlawful or deceptive purpose.

OttoMail drafts text using AI. It is designed to hold anything it cannot support with your own documentation, and to route sensitive matters to a person — but no automated system is perfect, and you should not rely on it as the only check on what leaves your inbox. The service is provided “as is”, without warranties of any kind. We do not warrant that it will be uninterrupted or error-free.

We are not liable for indirect or consequential losses. Our total liability in any twelve-month period is limited to the fees you paid us in that period.

Plans are priced on monthly email volume and agreed in writing before service begins. When a plan's monthly allowance is reached, OttoMail stops drafting and routes all incoming mail to your team — no email is dropped, and you are not billed for overage you did not agree to.

Either party may terminate with 30 days' written notice. We may suspend access for non-payment or for use that breaches these terms; suspension pauses processing and does not delete your data. On termination, your data is deleted per the retention terms in our Privacy Policy, and you may request an export before then.

You can stop all processing yourself at any moment — disconnect an inbox in OttoMail, use the halt-all-sending control, or revoke access in your Google account.

Our handling of your data, and of Google user data specifically, is described in the Privacy Policy, which forms part of these terms. In particular: we do not train AI models on your data, and we do not sell it.
